ABOUT USIM CONVOCATION CEREMONY
ANSWER : Each graduate will be provided with 1 invitation card during the Universiti Academic Attire Borrowing Day, which will be held from 9th to 11th November 2024. This invitation card will allow 2 guests (parents/guardians) to enter the Chancellor Hall.
ANSWER : The convocation robe can be borrowed from 9th to 11th November 2024, according to the scheduled time slots. The schedule for each faculty can be accessed on the USIM Convocation Ceremony website (https://konvo.usim.edu.my).
Graduates can borrow the convocation robe starting from the date of the University Academic Attire Borrowing Day until the graduation ceremony, which is within a period of 3 weeks. After 2 days from the graduation ceremony, a fine of RM5 will be imposed for each late day (the fine schedule can be referred on the Convocation website). Graduates are encouraged to return the University Academic Attire after the ceremony. The Scroll, Official Academic Transcript, and Completion Letter can only be collected after returning the Convocation Robe.
For the information of all graduates, starting from the 20th Convocation Ceremony of USIM in 2022, the convocation rehearsal session has been changed to the USIM Convocation Ceremony Briefing. This briefing is mandatory for all graduates and will be held on the University Academic Attire Borrowing Day. Graduates are requested to refer to the briefing schedule on the USIM Convocation website. Graduates who are unable to attend can follow the recorded briefing session, which will be broadcasted live online. Information regarding the live briefing session will be announced from time to time.
ANSWER : Graduates are required to return the Convocation Robe by themselves or can delegate represantative at Robbing Room 1 or 2, Dewan Tuanku Canselor from 3th to 8th December 2024 and at the Division of Undergraduate Management, 2nd floor, Chansellory building starting from 9th December 2024.
ANSWER : The convocation robe CANNOT be returned by post. Graduates can delegate their family or friends to return the robe. Graduates are reminded to return the robe within the designated period to avoid fines. Graduates are also responsible for taking good care of the convocation robe. If any loss or damage occurs, fines will be imposed (refer to the fine schedule on the Majlis Konvokesyen USIM website).
ANSWER : Yes. The Strategic Communication Centre (StraComm) will appoint a company to manage the official photography for the USIM Convocation Ceremony. The photography counter will be open on the University Academic Attire Borrowing Day, which will be held from 9th to 11th November 2024, to allow graduates to choose from the photography packages provided.
ANSWER : For the information of all graduates, the convocation fee has been CHARGED AND PAID DURING STUDENT REGISTRATION. However, if graduates have any outstanding debts, they need to settle all the debts before borrowing the convocation robe on the University Academic Attire Borrowing Day. Graduates with outstanding debts will not be allowed to borrow the convocation robe and will not be allowed to attend the USIM Convocation Ceremony. Only the stage photography payment needs to be made by the graduates.
ANSWER: Graduates are only allowed to bring in 2 FAMILY MEMBERS/CARETAKERS into the hall. Special seating outside the hall is available, but the space is limited.
ANSWER: The university provides an official stage photography session, and all graduates need to pay for the photography packages. External photographers are not allowed inside the hall.
Graduates who are verified and granted the Complete for Graduation (LDI) status are ELIGIBLE TO RECEIVE THE ALUMNI CARD (UGRADS CARD) even if they do not attend the ceremony. The card will be given when graduates report at Gate A/B. Graduates who do not attend can claim the card at the Career and Alumni Centre office after completing all the sessions of the Convocation Ceremony.
ANSWER: All graduates must adhere to the attendance time for each session as stated in the session schedule on the USIM Convocation website and in the Graduates Invitation Letter to the USIM Convocation Ceremony. Graduates must report at Gate A/B DTC starting at 7:30 am for the morning session and starting at 1:50 pm for the afternoon session. Early attendance is crucial to ensure the smooth running of the session. Graduates who arrive late will not be allowed to enter the hall
All graduates are required to follow all procedures of the USIM Convocation Ceremony, including taking an official stage photos. This is a mandatory requirement for every USIM Convocation Ceremony.
ALLOWED. The secretariat will provides additional seating for guests who cannot enter the hall. However, these seats are limited.
The convocation robe borrowing fee has been included in the convocation fee, and graduates do not need to make any additional payment to borrow the robe, UNLESS the graduate damages or loses the robe. Fines will be imposed based on the extent of damage, and for cases of loss, the graduate will be charged at the selling price of the robe. The fine schedule can be referred on the USIM Convocation website.
ANSWER: All graduates are required to settle all debts (fees & fines) one week before the University Academic Attire Borrowing Day. Debt checks can be made through the iStudent portal. Graduates need to settle all debts online. The Treasurer’s and Library counters will also be open on the University Academic Attire Borrowing Day, which will be held from 9 to 11 November 2024, for graduates who have debt-related issues. To ensure the smooth borrowing of university academic attire, prospective graduates are advised to settle all debts no later than one week before the University Academic Attire Borrowing Day.
Starting from the 22nd USIM Convocation Ceremony in 2024, all debt settlements for convocation purposes must be made through the iStudent portal. Payments must be made online. Prospective graduates need to print a debt clearance confirmation slip or display it on their mobile phones during the University Academic Attire Borrowing Day. Prospective graduates no longer need to come to the campus to settle their debts. However, prospective graduates are advised to settle their debts no later than one week before the University Academic Attire Borrowing Day.
If prospective graduates have trouble logging into the iStudent portal or have any technical issues related to the iStudent system, they should email the problem to support_academic@usim.edu.my. Please include your name, student ID number, and the problem you are facing.
For postgraduate graduates (PhD, Master, and Graduate Diploma) who have trouble logging into iStudent (https://istudent.usim.edu.my), they can reset their password to access iStudent through the iPPS portal as follows:
- Log in to the iPPS portal.
- If accessing from off-campus, please access through https://sslvpn.usim.edu.my, select the IPPS2 icon, and log in to the iPPS portal.
- Click on Account Setting -> Change of Password.
- Please update your password until the display shows “Your Password has been updated.”
- Open iStudent again and log in using the new password.
QUESTION 19: DO GRADUATE STUDENTS (PHD/MASTER/GRADUATE DIPLOMA) NEED TO COMPLETE THE CLEARANCE FORM?
Debt settlement on the iStudent portal is only for prospective Bachelor’s degree graduates. For postgraduate graduates, you need to complete the Clearance Form (PPS21). If you have already submitted the form to your faculty or the Graduate Management Division, you do not need to complete a debt clearance. You only need to bring your matric card and the confirmation slip of the completion of the Graduate Tracer Study System during the University Academic Attire Borrowing Day for the purpose of collecting your robe.
